Ask what the sheet makes possible
The extra sheet may provide a report the ERP lacks, a calculation staff need or a quick view of work that has not yet been entered. It may also be habit. Ask the person maintaining it to demonstrate a real transaction before choosing the fix.
Trace one transaction
Choose a typical order, invoice or stock movement. Follow where information originates, who enters it, which fields are duplicated and when other people need the result. Look for missing information, timing differences and workarounds.
Fix and verify the gap
The right change could be configuration, training, an entry deadline, a report or an integration. Test the revised workflow with representative transactions and reconcile the output with the existing record before retiring it.
Agree a source of truth
Name the authoritative record, its owner and the timing for updates. Document any legitimate exceptions. A spreadsheet is not inherently a problem; conflicting records without clear ownership are.
